About the Position
The Client Service Associate is a key member of the client experience team, responsible for delivering exceptional service and administrative support to advisors and clients. This role will be highly client-facing and instrumental in managing custodian relationships, client onboarding, paperwork, account maintenance, and service requests. The ideal candidate is proactive, experienced in the wealth management industry, and excels at building trusting relationships with sophisticated clients.
 
Responsibilities
  • Act as a primary point of contact for client inquiries - phone, email, and in-person.
  • Build strong client relationships through timely, thoughtful, and personalized service.
  • Coordinate account maintenance requests including account openings, transfers, beneficiary updates, money movements, distributions, and other tasks within custodian platforms (primarily Schwab and Fidelity).
  • Partner with advisors to coordinate meeting logistics, follow-ups, and service workflows.
  • Deliver thoughtful, proactive, white-glove service.
  • Assist with client onboarding.
  • Collaborate across teams to streamline administrative and operational processes.
  • Help monitor and complete workflows and project checklists in Hubly.
  • Uphold compliance requirements, confidentiality, and firm standards in all interactions.
  • Any additional duties as needed within the organization.
                                                                                                                      
Qualifications
  • Required
    • 3+ years of client service experience in financial services, wealth management, or investment advisory environment.
    • Strong relationship skills and professionalism with high-net-worth clients.
    • High level of attention to detail and accuracy.
    • Ability to work independently and collaboratively within a team.
    • Excellent written and verbal communication.
    • Experience with custodians such as Schwab and Fidelity with a heavy preference for Schwab experience.
    • Proficiency with CRM and portfolio/operational systems (e.G., Wealthbox, Tamarac, Hubly).

    • Understanding of retirement plans, taxable accounts, money movement processes, and investment platforms.
